Challenges of Building Interactive Presentation Tools for Live Events
Pavilion 360 approached Fively with an innovative vision: to enhance the attendee experience at their live events by allowing participants to leave real-time feedback, drawings, and comments — viewable by everyone on a large screen during the event. The goal was to turn passive audiences into engaged contributors and give events an interactive, memorable edge.
To bring this to life, they had to create a custom web application that would work seamlessly across all devices, operate entirely offline on a local network, and render user-submitted reviews dynamically on a central display in an engaging way.
This project on creating interactive meeting tools posed several technical and logistical challenges:
- Build a custom, event-ready feedback system from scratch that could work on any device (phones, tablets, laptops) with no installation or app download required;
- Ensure full offline functionality by enabling all users connected to the local network to access the app and submit their input, even without internet access;
- Create a dynamic live display page where participant feedback appears in real time on a large screen in randomized zones, without overlap or layout glitches;
- Design a logic that manages limited display zones, where new reviews occupy free sections, and if none are available, one is randomly replaced without disrupting the flow of content;
- Provide an intuitive admin panel to manage sessions, moderate input, and customize display settings with zero friction during live events;
- Build a system that is fast, stable, and production-ready in time for Pavilion 360’s upcoming event, requiring us to move from concept to launch in under two months.
Pavilion 360 chose Fively as their tech partner due to our deep expertise in React, Node.js, databases, and data visualization, as well as our proven track record of delivering robust, scalable event and marketing solutions on tight timelines. The client shared the vision of their interactive presentation tool, and our collaboration began in March 2025.
How Fively Helped Pavilion 360 Build a Real-Time Feedback Display App
Pavilion 360 partnered with Fively to bring their innovative idea to life: a real-time feedback tool that would let event attendees share their thoughts and artwork live, with all submissions instantly shown on a large screen at the venue. Our team, consisting of a front-end engineer and a professional PM, worked closely with Pavilion 360 to deliver a powerful, responsive, and fully offline-compatible solution in just 6 weeks. Here’s how we made it happen:
Project architecture. From day one, our goal was to create a lightweight, fast, and fully self-hosted web app that could operate offline on a local network. We designed the system architecture to function entirely without internet access, while keeping it smooth, interactive, and responsive across any device.
We used Node.js to power the backend logic and build a lightweight server that could handle real-time data flow over a local network. MySQL was selected for its reliability and efficiency in managing structured data, such as review content, session states, and user activity.
On the front-end, our engineer developed a dynamic React application with full mobile support and built-in drawing tools. We designed three core modules:
- an Admin Panel for event organizers;
- a Review Wall that displayed participant feedback in randomized zones;
- and a Submission Page accessible to users via a local link on any device;
Docker was used to package and deploy the entire app as a local container, allowing Pavilion 360 to spin up the tool at any venue without worrying about network configuration or server dependencies.
Team structure. This project was led by a highly focused team: a front-end engineer responsible for building the UI, randomized zone rendering logic, mobile optimization, and animation flow; and a professional project manager who handled client communication, requirements clarification, testing cycles, and delivery coordination. Together, the team ensured the system was intuitive, event-ready, and stress-tested ahead of Pavilion 360’s first live deployment.
Communication tools. We worked in tight iterations with regular syncs, using Google Meet for weekly sprint reviews and Slack for instant feedback and collaboration. Tasks and deadlines were managed via ClickUp, ensuring full visibility across both the Fively team and Pavilion 360 stakeholders.
Thanks to smooth communication, clear sprint planning, and our event-focused development mindset, we delivered the full MVP on time, just in time for Pavilion 360’s first event in April 2025.
Pavilion 360 Project Results
Through our collaboration with Pavilion 360, Fively successfully delivered a fully custom, lightweight, and offline-first web application designed to elevate the live event experience. The app was built, tested, and deployed in just over 6 weeks — right on time for Pavilion 360’s flagship event:
- We developed the entire system from scratch, starting with the core architecture and user flow. Our team ensured the app would function reliably without internet access by making it accessible over local networks and self-contained via Docker, enabling fast deployment at any venue.
- The live feedback display wall component dynamically distributes messages and drawings in randomized screen zones, maintaining a visually appealing collage effect throughout the event. The app automatically handles zone availability — freeing and replacing content as needed — to keep the visual flow seamless and non-repetitive.
- The admin panel gives Pavilion 360’s team full control over each session: from starting and ending events to moderating content and customizing behavior in real time during the event.
- The app also includes a drawing and feedback interface designed for touch input and mobile responsiveness, ensuring participants can join in easily using any device, without installation or configuration.
- Thanks to clear project goals, rapid feedback loops, and tight technical execution, we launched the platform in time for Pavilion 360’s April 2025 event, where it was successfully used by dozens of participants to share live comments and sketches in real time on a large display.
As a result of our fruitful collaboration, Pavilion 360 now has a visually immersive, interactive addition to their live events, which can be used even offline with real-time content rendering, which sets a good foundation for their future live presentations.
Following the successful launch, Pavilion 360 is already planning some additional features and integrations to further expand the platform’s capabilities, and Fively remains their go-to tech partner for what comes next.
