The Challenges of Building AI-Powered HR Tools

Avo, as a pioneer in the field of HR management automation, recognized that many companies grapple with HR management tasks that are repetitive, time-consuming, and inefficient. They noticed that existing HR automation tools for recruitment and further employee management in the market were not providing the level of customization and predictive analysis required by large corporations.

That’s why they wanted to create a robust HR AI software that could redefine all the processes in the field, and allow HR managers as well as employers to use a single platform to connect, exchange opinions, and boost their performance and job satisfaction whether in-person, hybrid or 100% remote.

The future employee engagement platform should have a powerful AI chatbot that could:

  • quickly process personal data;
  • make real-time suggestions and visualizations;
  • streamline and ease employee management;
  • save time and resources for the HR managers;
  • make the communication in the company more intuitive and transparent for all.

The significant challenge in developing this innovative HR tool was to enhance it with an AI solution that can handle the complexity of human behavior and needs, be user-friendly, and possess powerful data analytics and 3rd-party integration capabilities.

Traditional HR management solutions were insufficient, as they were not versatile or adaptive enough to meet the needs of the modern workplace. Thus, Avo was looking for highly skilled full-stack engineers who could strengthen their in-house development team and fulfill the following goals:

  • Collaborate with the client’s team, participate in the task scope estimation, and set realistic deliverable deadlines;
  • Build a robust and highly performative back-end and the admin panel for the system, able to handle complex computations, and quickly process a massive amount of personal data variations;
  • Help to create a catching, user-friendly, and intuitive UI for the system according to the project design requirements;
  • Enhance the system with AI and machine learning algorithms for accurate data analysis, predictive analysis on employees engagement, and personalized recommendations on its improvement;
  • Enrich the HR platform with powerful 3rd-party HRIS integrations for added functionality;
  • Implement robust data protection measures for sensitive employees’ information;
  • Improve system performance, ensure stability, and resolve any bugs on the client side;
  • Provide technical and maintenance support for the HR platform.

To cover all these challenging tasks, Avo needed a skilled team of AI developers who could build the needed architecture, expand the platform's functionality with artificial intelligence and ML solutions, carry out additional optimizations, and then integrate it seamlessly with 3rd-party solutions. How Fively Helped to Create an Ultimate AI Tool for HR Management

Throughout the execution of this AI-driven HR management project, we provided the Avo team with more than state-of-the-art AI engineering services, a well-structured powerful backend, and an adaptive UI. We became a full-fledged part of the team, helping to estimate the scope of tasks, setting deliverable deadlines, communicating with the client's team regularly, and, what’s most important, continuously offering optimal architecture for this unprecedented HR tool driven by AI.

Project Architecture. The development of this employee recognition and motivation software for small businesses and enterprises consisted of 2 congruent parts: the development of the main system and the creation of an AI-based HR chatbot. And Fively developers took part in both these project lines.

Firstly, to create and optimize the work of the main HR management platform, we utilized the architecture and toolset described below:

  • Nest.js - a versatile framework for building a scalable and maintainable backend for the HR system;
  • React.js - for creating interactive and component-based user interface for the app;
  • AWS - for quick and secure hosting of the HR app on a cloud platform;
  • Kubernetes - to automate deployment, scaling, and management of the containerized app;
  • PostgreSQL - for efficient object-relational database management for the system;
  • DogQ - a no-code testing platform. We used it for regression and e2e testing automation, real-time reporting, and checking the project’s analytics;

When the development of the main system was coming to an end, we concentrated on creating a powerful AI-based HR chatbot, which could allow us to automate and speed up the work with the system at times.

For this unique example of implementing AI in HR management, we used the following technologies:

  • Next.js - was used to fetch data from the used APIs and the database and pass it as props to our web page components;
  • React.js - for creating interactive and component-based user interface for the app;
  • Pandas - for fast and flexible data manipulation and analysis in the back-end;
  • Langchain - to create a LLM chatbot able to quickly process large amounts of data with little computation power;
  • Open AI - for integrating additional AI functionalities into our LLM chatbot;
  • AWS - for quick and secure hosting of the HR app on a cloud platform;
  • Kubernetes - to automate deployment, scaling, and management of the containerized app;
  • PostgreSQL - for efficient object-relational database management for the system;
  • DogQ - a no-code testing platform. We used it for regression and e2e testing automation, real-time reporting, and checking the project’s analytics;

Team Structure. The completion of this HR platform optimization project was thanks to an international team of developers, designers, and project managers, 2 of which were highly-experted full-stack developers from Fively with a deep knowledge of AI, ML, and Cloud infrastructure.

Communication tools. As soon as the project commenced, we established seamless communication with Avo's in-house international development team. We utilized Jira for task management and tracking, and Slack for swift communication on project initiatives and changes.

We also conducted daily stand-ups for clear task tracking and to encourage open discussion upon possible innovations and architecture solutions. Additionally, we organized monthly retrospectives to keep everyone on the same page and continually enhance our approach.

These technical and management decisions allowed us to successfully accomplish all the project goals, and deliver a 100% automated top-tier AI-driven HR management solution, that is now one of the best of its kind in the market.
